Free audit

Recall reminders, on autopilot. No more chasing.

Built for dental practices in Atlantic Canada. Your office manager can spend 4–5 hours every day on recall reminders, no-show recovery, and confirmations. We automate that part of the day — while keeping patient information on systems you control. PIPEDA-aligned by design.

What we fix

Four things eating your front desk.

Every dental office we talk to says the same things drain the day.

event_repeat

Hygiene recall calls

SMS + email recalls fire on schedule (6 months, 9 months, whatever your cycle). Patients book online with one tap. Front desk only hears about the no-responders.

Appointment confirmations & no-show recovery

Auto-confirm 48 + 24 hours before. When someone cancels, fill the slot from your wait list automatically. Industry benchmarks suggest no-show rates drop 30–50% with automated reminders.

description

Insurance claim drafting

AI drafts predetermination letters and claim narratives from the chart notes. Office manager reviews and sends. What used to take 20 minutes per claim takes 2.

Privacy

Patient data stays where it belongs.

Two build modes depending on what your provincial regulator needs.

Cloud build (most common)

For recall reminders and appointment confirmations that don’t touch detailed PHI — just name, phone, appointment time. Built on PIPEDA-compliant Canadian-region infrastructure. We sign a DPA on request. Most practices start here.

On-premise build

For claim drafting and anything touching chart notes. Local AI server in your office; no patient data ever leaves the building. Fully air-gappable. Right for practices with senior staff who want zero risk on PHI. More on private AI →

Connects to your systems

Built to play nicely with what you already run.

Practice management: whatever software you use. We read appointment data through their reporting layer or local DB — no plugin to install.

Messaging: Twilio for SMS, your existing email infrastructure (Outlook, Gmail, SMTP) for email.

If your software isn’t listed: we’ve probably integrated with it. Ask in your free audit.

Investment

What it actually costs.

Real numbers, up front.

$2K–$10K

Scoped per practice

Every practice is different. We scope your build after a discovery call — typically $2K to $10K depending on which automations your front desk actually needs. Most builds live in 2–6 weeks. Cloud build, or on-premise if you want claim drafting kept local (claim drafting typically adds ~$2–3K hardware that's yours forever).

Ongoing support options are covered in your proposal. Twilio SMS pass-through at cost (~1¢ per text). Flat monthly hosting fee — overage only at high volume.

Questions

Questions practices ask first.

Does it integrate with our practice management software?add
Yes. We read appointment data through their reporting layer (reporting or export layer). No plugin to install in the practice management software, which keeps the vendor relationship clean and warranty intact.
Is this PIPEDA-compliant? What about provincial health-privacy laws?add
Yes for both. Cloud builds use Canadian-region infrastructure with no data crossing borders. On-premise builds keep data physically inside your office and are appropriate for PHIA-NB, PHIPA-equivalent, and similar provincial regimes. We sign a Data Processing Agreement before any work starts. Bring your privacy officer to the audit call — we welcome that conversation.
What if I recommend this and it breaks?add
The system runs alongside your practice management software, it doesn’t replace anything. If our automation has an issue, patient bookings still work the old way. Worst case is your team makes a few calls manually for a day. We monitor every system we host with alerts; most issues we fix before you notice.
How long until I can show ROI to my dentists?add
Inside 30 days. Two metrics move first: hours of front-desk time recovered (often 8–15 hours per week back to billable work (varies by practice size)) and no-show rate (typically drops 30–50% per industry benchmarks). For a 2-dentist practice, those two changes usually pay back the build inside 3–6 months.
Do I need to be the office manager or the dentist to book this audit?add
Either works. The office manager usually knows where the pain lives; the dentist signs the cheque. If you’re the office manager, we’ll help you build the case to bring upstairs. We’ve drafted internal pitch decks for clients before — ask.
